Why schools put it off
The current system is familiar, the data is already in it, and nobody has a spare hour in September. All true. Meanwhile the cost of staying grows quietly in the background: hours of matching payments by hand, enquiries that never get a call back, parents phoning the office and documents retyped every term.
The best time to switch
Between terms, or at the turn of the calendar year. Steer clear of the four weeks before your main enrollment season. A small school can be working in a new system within days, while a larger school is usually better off moving one part at a time.
A plan in six steps
- List what you really use today. Write down your programmes, levels, locations, document types and payment methods, plus the reports you open every month. This becomes your setup list.
- Decide how much history you need. Every school needs its current students, parents, teachers and companies. Old courses, payments and documents are only worth bringing over if you will actually use them; often an export kept somewhere safe does the job.
- Set up the new system. Academic years, programmes, levels, rooms, holidays and numbering all need to be in place. In 2026 an AI assistant can propose most of this after a conversation, so your job is to check rather than type.
- Bring your people across. Export from the old system to Excel or CSV. A good import recognises the columns, links parents to their children, skips duplicates and can be undone if something looks wrong.
- Move your documents. Contracts and certificates must keep their legal wording and their look. The safest approach is to use your current PDF as the background and place the data on top of it.
- Go live in one area first. Enrollments or the bank statement import make good starting points, because the benefit shows up in the very first week.
What to ask the new vendor
- Who does the import, and what happens to duplicates?
- Can we undo an import or a setup step if we change our minds?
- Will our contracts look exactly the same?
- Which bank files can we import from day one?
- How do teachers and parents get access, and will they need to install anything?
- Where is our data stored, and who can see it?
How AI changes the move
The hardest part of switching used to be the typing: settings, people, templates. In Amber the assistant takes that work off your hands. It lays out a plan card for you to approve, imports people from Excel with parents already linked, and copies your numbering to the new year. After that, Ask Amber answers administrators’ how-to questions right inside the app, which cuts down on training.
Moving to Amber
Switching to Amber covers the details. Or book a demo, tell us what you use today, and we will show you what changes, what stays the same and how long the move takes.
